Job Description

We are seeking a poised, professional, and experienced Senior Administrative Assistant to support a dynamic nonprofit organization. This direct hire opportunity offers generous benefits, CalPERS retirement, and a hybrid schedule (3 days onsite, 2 days remote).  In this key role, you will provide high-level administrative assistance to Office Management and departmental teams within the Executive Office. Responsibilities include managing budgets, handling contracts, supporting research projects, and preparing correspondence for leadership, staff, and external stakeholders. The Senior Administrative Assistant also plays a crucial role in coordinating meetings and events for the Board of Directors and Delegate Assembly, as well as overseeing leadership election processes.


The qualified candidate will have at least five years of proven leadership in administrative support roles, strong communication and coordination skills, and advanced technological proficiency.


SALARY RANGE: $54,000 to $64,000 DOE.


PRIMARY RESPONSIBILITIES:

  • Provides comprehensive administrative support to the Executive Office, senior officers, Board of Directors, and Delegate Assembly.
  • Acts as backup Executive Assistant to the Executive Director as needed.
  • Oversees coordination of activities and administrative processes related to meetings, nominations, and leadership elections.
  • Drafts, edits, and prepares official correspondence and communications.
  • Manages meeting logistics, including scheduling, room reservations, catering, and on-site setup.
  • Performs additional duties as assigned.


SKILLS & QUALIFICATIONS:

  • Minimum five years’ experience planning and facilitating executive meetings and events—both in-person and virtual—for boards, committees, and senior leadership.
  • Skilled in coordinating executive calendars, travel arrangements, meeting logistics, and preparation of meeting materials for Boards of Directors and executive teams.
  • Proficient in processing and tracking contracts, documentation, and internal paperwork with a strong emphasis on accuracy and compliance.
  • Experienced in managing all aspects of meeting logistics, including venue reservations, catering, A/V and IT setup, and onsite support.
  • Exceptional written and verbal communication skills; able to clearly convey information to diverse stakeholders.
  • Adept at supporting and collaborating with hybrid teams across multiple locations.
  • Highly detail-oriented with a strong commitment to following and improving organizational processes and procedures.
