Job Description

We are recruiting an Office Administrative Coordinator for a leading global engineering services company in Sacramento.  This is a great opportunity to join a highly competent, team-oriented, and tenured engineering firm! They offer a competitive compensation, and a comprehensive benefits package with many perks available for employees. The Office Administrative Coordinator will play a crucial role managing both front and back office operations as well as supporting all departments and leaders with administrative tasks. Pay range: $28-$35/hour #onsite #directhire


The ideal candidate will have at least 5 years of experience providing administrative support in one company, advanced proficiency with the MS Office suite (Word, Excel, Outlook, and PowerPoint), and is a self-starter, possesses positive energy and be forward-thinking.


PRIMARY RESONSIBILITIES: 

  • Manage front and back office operations, including welcoming visitors, handling phone calls, and managing mail and deliveries.
  • Coordinate meetings by scheduling conference rooms and meeting locations and coordinating all meeting logistics.
  • Assist leadership and other managers with a variety of administrative tasks and reporting in Microsoft Excel.
  • Provide comprehensive administrative support to a team of professionals.
  • Responsible for office administrative operations, including inventory management, ordering supplies, overseeing vendors and vehicle maintenance, organizing the workspace, and managing schedules.
  • Assist with project support tasks such as reviewing, editing, and formatting documents in Word and Excel.
  • Process invoices efficiently and accurately.
  • Plan, coordinate, and host team and company events.
  • Support and Coordinate regional, national and international travel.
  • Manage master vendor scheduling and reporting.
  • Perform other duties as assigned.


SKILLS & QUALIFICATIONS:

  • 5+ years of relevant administrative experience with one company.
  • Associate or bachelor’s degree in a business major preferred.
  • Ability to manage front and back office independently and collaboratively with a positive demeanor.
  • Advance proficiency in MS Office suite is required.
  • Strong grammar, writing, formatting, and editing skills, along with proficient notetaking abilities.
  • Excellent verbal and written communication skills.
  • Exceptional attention to detail, organizational skills, and process management capabilities.
