Job Description

Pacific Staffing has partnered with a long-standing Sacramento Housing Authority who has a great opportunity for an experienced and highly organized Executive Assistant. The Executive Assistant will provide advanced level administrative support, systems administration (and reports) and coordinate complex schedules for the organization’s executive leaders. This is great onsite, temp to hire opportunity! Pay: $28-35/hr. 


The ideal candidate will have a proven track record of supporting executive leaders, managing complex calendars, and handling confidential information with discretion.


PRIMARY RESPONSIBILITIES: 

  • Organize and expedite the flow of work for executive leaders.
  • Provide routine to moderately complex administrative support for the operations and procedures of the executive leadership.
  • Prepare special reports by gathering, analyzing, and summarizing data.
  • Organize and maintain files, correspondence, and records.
  • Handle and frequently access highly confidential and sensitive information.
  • Receive and screen telephone calls, letters, and/or visitors.
  • Answer routine questions and provide information related to general executive leadership operations, policies, and procedures.
  • Determine when to appropriately refer inquiries, requests, or issues to managers or department staff members and follow up to ensure resolution.
  • Organize and prepare routine correspondence, as well as complex documents, reports, spreadsheets, presentations, and various forms of communication documents.
  • Assist with tracking the executive leadership budget, compiling expenses, and preparing monthly expense reports.


SKILLS AND QUALIFICATIONS

  • Minimum five (5) years of experience performing administrative support functions for executive leaders.
  • Minimum six (6) months of experience in coordinating and providing support to large complex projects.
  • High School Diploma or General Education Development (GED) required; Bachelor's degree preferred.
  • Excellent customer service skills.
  • Strong proficiency in MS Outlook.
  • Demonstrated oral and written communication skills.
  • Advanced level proficiency with MS Word, and intermediate level proficiency with PowerPoint, Excel, or Access (required only if applicable to executive leadership's needs).
  • Must be available to work onsite and have completed COVID vaccination.
