We are recruiting for an Executive Assistant to join a mission driven advocacy organization in Sacramento dedicated to public service. The Executive Assistant will provide high-level professional administrative support to the CEO and Executive Director. This contract to hire role offers a remote work arrangement with occasional onsite meetings in Sacramento. Pay: $34/hour.
The qualified candidate will have a minimum of five years’ experience providing administrative support to C-Suite executives in the non-profit industry. Exceptional communication and interpersonal skills are required.
PRIMARY RESPONSIBILITIES:
- Serve as the first point of contact for the CEO.
- Process correspondence; receive and screen phone calls.
- Serve as point person and coordinator for the CEO/Executive Director on special projects that involve cross organizational and multi-organizational collaboration and input.
- Maintain complex calendar and travel arrangements; prepare travel itineraries; prepare expense reimbursements; maintain calendar and confidential files.
- Write routine correspondence.
- Participate in long-range planning board of director meetings and events, coordinate dates and deadlines of documents and calendars.
- Review and proof correspondence for Executive Director’s and CEO’s signature.
- Assist with developing agendas, materials and preparing periodic updates to the Board; attend board meetings; provide staff and on-site support for all board committees both in-person and virtual; coordinate meeting logistics.
- Take detailed meeting minutes/notes for a variety of meetings.
- Coordinate, plan, and attend conferences, reception, and other special events as needed.
- Performs other duties as required.
SKILLS & QUALIFICATIONS:
- Bachelors’ degree in business administration or related.
- 5+ years of progressively responsible experience in senior administrative role supporting an executive or department head.
- Strong written and verbal communication, analytical and organizational skills.
- Accurate usage of the English language, including spelling, grammar and punctuation; ability to proofread and edit materials accurately.
- Intermediate to advanced proficiency with Microsoft Office Suite and meeting tools (Zoom, Teams).
- Demonstrated knowledge of fundamental meeting planning, scheduling, calendaring, and conference call procedures.
- Ability to maintain highly confidential information.
- Self-motivated with ability to use good judgment.
- Ability to manage conflicting demands on time and multiple tasks; independently organize and prioritize projects and workload.
- Ability to perform duties in both virtual and in-person environments, even when faced with multiple competing deadlines.
- Travel as needed.
