Job Description
Pacific Staffing is recruiting an Administrative Specialist to join a nonprofit education organization in the Sacramento area. This is a direct hire opportunity with a hybrid work schedule (2 days onsite, 3 days remote). The Administrative Specialist provides a variety of administrative, coordination, and office support to our client s Legal department. Pay: $20/hr-$22/hr DOE.
The ideal candidate will have a strong proficiency in Microsoft Office Suite, experience scheduling virtual and in-person meetings, understanding of budget administration and high attention to detail.
PRIMARY RESPONSIBILITIES:

PRIMARY RESPONSIBILITIES:
- Provides administrative assistance to the Legal Department.
- Composes, types, edits, and proofreads a variety of documents; develops agendas; attends meetings; takes, transcribes, and distributes meeting minutes; follows-up on after-action items; prepares programs and brochures.
- Formats PowerPoint presentations.
- Updates and maintains information in the database.
- Coordinates activities (calendar, travel, logistics, meeting materials, etc.).
- Develops budgets; monitors unit and program budgets, approves expenditures, and coordinates with accounting staff to ensure prompt and accurate payments; generates financial and annual reports, and budgets as appropriate.
- Proofreads documents to ensure accuracy of copy, grammar, punctuation, and spelling.
- Oversees all meeting logistics, including room reservations, food and beverage, coordination of audio/visual technology needs, and onsite coordination and set up.
- Monitors and controls event budgets.
- Performs other duties as assigned.
SKILLS AND QUALIFICATIONS:
- Associates degree or higher required.
- Minimum 3 years of administrative experience.
- Intermediate proficiency with Microsoft Office Suite.
- Experience scheduling meetings using video conferencing software (MS Teams, Zoom, etc.) is required
- Ability to pivot between technologies effectively to gather data.
- Strong written and verbal communication skills.
- Exhibits high attention to detail and strong organizational skills.
- Ability to work independently with self-initiative.
- Excellent customer service skills.
- Ability to handle sensitive and confidential information
