Job Description

We are recruiting an Administrative Assistant for a premier employer in the greater Vacaville/Davis area. The Administrative Assistant serves as the first point of contact, greeting clients upon arrival to the Health & Wellness Department. This is a contract opportunity (approximately six months) and a great chance to get your foot in the door with an amazing organization. Our client offers one way mileage reimbursement as well as free lunch! Monday-Friday, 8am-5pm. Pay: $25/hour.

The ideal candidate will have at least three years of administrative experience, outstanding customer service skills and is highly dependable as this position is the office “opener.”


  • Provides daily administrative support and coordination for the department.  
  • Answers phones and takes appropriate messages; interacts with visitors and staff.  
  • Develops and maintains physical and electronic file management systems. 
  • Copies, distributes, and files routine paperwork as well as critical organizational documents such as meeting minutes, resolutions, contracts.
  • Processes invoices, reimbursement requests, check requests and W-9 forms. 
  • Prepares letters, memoranda, reports, and other documents from draft input, proofreads and edits documents with close attention to detail. 
  • Prepares agendas, minutes, organizational charts, meeting materials and reports for all meetings.
  • Manages mail, sorts, and answers correspondence.
  • Schedules and coordinates events. 
  • Maintains inventory of supplies.
  • Prepares credit card statements and supporting documents. 
  • Performs other duties as assigned.


  • Minimum three years of administrative or related experience.  
  • Associates’ degree (A.A.) or higher preferred. 
  • Excellent written and verbal communication skills.
  • Professional demeanor.  
  • Strong writing and proofreading skills. 
  • Ability to multi-task and prioritize in a fast-paced work environment.
  • Intermediate proficiency with MS Office (Word, Outlook, Excel). 
  • Dependable, reliable, and able to work 100% onsite. 
  • Ability to maintain confidentiality and exercise discretion.
