Responsibilities: Answer incoming Service Department calls, communicating with both customer and employees. Set up new customers, including credit applications and authorizations, A/P setup, definingbill-to information, sending start-up letter, etc. Open, dispatch, and schedule all shop and field service repairs in computer system. Update purchase orders and scheduled service orders in system. Secure parts pricing, prepare quotes and send to customers. Place orders for parts and expedite delivery as needed. Code invoices and prepare invoices for review. Maintain weekly technician service schedule and supply to technicians. Facilitate the closing of service orders approved for invoicing; invoice service jobs once completed. Draft estimates of repair, service agreements, letters, memos, etc. Maintain organized files including contracts, agreements, open orders, customer history, employee records, expense reports, and vacation requests. Prepare outgoing mail and overnight mail packages. Coordinate travel arrangements for Service Technicians. Coordinate new equipment installations with Sales.
Requirements: 2+ years' service coordination experience in an industrial service industry preferred. High School diploma or equivalent required. Knowledge of parts and maintenance/repair for machinery preferred. Highly organized with the ability to work independently. Excellent verbal and written communication, andproblem-solving skills. Ability to manage multiple priorities with flexibility and a positive attitude. Strong interpersonal skills and customer service. Proficient in Microsoft Office.
