Responsibilities: Provide administrative support to the Executive Office including managing calendars, scheduling, travel arrangements, and meeting logistics. Coordinate meeting logistics, including room reservations, catering, A/V-IT and set up, meeting minutes, and follow-up action items. Assists with agenda preparation, including creating and distributing presentation materials for Board of Directors meetings and conference calls. Handle expense reporting, including reconciling executive's corporate card account and creating/submitting expense reports. Event documentation including data entry, tracking and auditing reports, as well as organizing incoming information, updating existing records, creating spreadsheets and corresponding documents. Executive Office event support including conducting inventory of various items needed for meetings, creating signs, preparing documents, packing, printing, collating, stuffing envelopes, tracking incoming mail.
Requirements: 5+ years' experience as an Executive Assistant. Bachelor's Degree preferred. Proficient with Microsoft Word, Excel, PowerPoint, & Outlook. Experience with detailed domestic and international travel coordination. Exceptional written, verbal, and interpersonal communication skills. Outstanding planning, time management, and organizational skills. High level of integrity and discretion in handling confidential information.
