Corporate Executive Receptionist

We are searching for a highly organized Corporate Executive Receptionist for an established company to assist with administrative support to the Corporate office and to the assistants of Executive staff. This position is located in Sacramento and requires a candidate who has supported executives and is extremely professional and dependable.

Responsibilities: Operates a multi-line telephone system; screens calls, routes calls, relays messages and pages employees with exceptional telephone techniques and etiquette. Coordinate meetings, both on-site and off-site, including scheduling, correspondence, site reservations, arranging travel accommodations and catering. Greets and directs all visitors, vendors, customers and job applicants to their appropriate locations. Conducts proper opening and closing front desk procedures. Typing, filing, spreadsheets, invoicing, prioritizing incoming mail/outgoing mail (open and route), tracking invoices, ordering supplies, generaloffice correspondence, etc.). Assists with invoice reconciliation. Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.) and, if required, contacts the appropriate personnel for signature release of incoming and outgoing mail. Assists Office Services with employee functions and events. Assist with variety of administrative tasks and added duties/projects as assigned.

Requirements: Associates of Arts degree (A.A.) or equivalent combination of technical training and related experience. Minimum of 3-5 years' experience of responsible executive level receptionist experience in providing administrative support. Strong interpersonal and customer service skills with all levels throughout an organization. Demonstrated ability to preserve confidential and proprietary information and successfully avoid conflicts-of-interest. Ability to plan and manage projects. Excellent judgment and decision-making. Highly organized with strong attention to detail. Strong communication skills: verbal, written, presentation, facilitation and listening. Strong time management skills. Proficient knowledge of Microsoft Office Suite.
