Responsibilities: Greet visitors who arrive at office; answer phones and direct as appropriate. Send and distribute faxes; open, copy and distribute incoming mail. Miscellaneous copying as needed ofcontract specifications, bids, blueprints, etc. Sort, write up and distribute invoices for approval weekly. Match invoices to supporting documentation / packing slips received from jobsite. Enter invoices into accounting system. Maintain a current and correct list on all vehicles and equipment registration. Ensure all DMV records are updated.Verify that Certified Payroll info, if applicable, has been received for invoices being entered. Assemble Accounts Payable checks and approval/backup for signature. Regularly communicate with Project Managers about invoices, etc. Complete credit applications for new vendors and set up new vendors in system. Filing: accounting paperwork, files for new projects, supplier files etc. Maintain vendor 1099 list. Prevailing Wage Reports. Fax preliminary notice information/jobsite maps to subs/suppliers as requested. Backup for payroll clerk. Assist with setting up Drug Screens. Other tasks as assigned.
Requirements: 3 years' experience in an administrative role with accounting experience. High School diploma required; college degree preferred with emphasis in accounting. Extremely organized, detail oriented and thorough. Proficient with MS Office - Word, Excel, Outlook, Access. Experience with Sage 300 CRE a plus. Highly Dependability and diligent worker. Ability to be flexible with job duties to assist with varying business needs.
Pay: $17-$19/hour DOE.
